Job Summary:

The Administrative Manager plays a crucial front-line role in assisting tenants, contractors, managers, and visitors daily. This position oversees administrative operations, Yardi data entry, and ensures smooth office management for the assigned properties. Strong customer service, organizational skills, and attention to detail are essential.

Key Responsibilities:

Accounting & Reporting:

  • Prepare and distribute direct bill invoices and statements.
  • Assist with vendor service contracts, including bidding, contract prep, and administration.

Administrative Duties:

  • Oversee day-to-day property management office operations (phone coverage, scheduling, office supplies).
  • Maintain filing systems, building access permissions, and property management calendars.
  • Assist with customer move-ins, move-outs, and lease summaries.
  • Ensure compliance with CuzWay policies and deadlines.
  • Provide IT support for software and equipment issues.
  • Maintain Disaster Preparedness Manual and security procedures.
  • Assist with leasing tours, event planning, and customer engagement programs.

Insurance & Compliance:

  • Maintain insurance files for tenants and vendors.
  • Send expiration reminders for insurance coverage renewals.

Customer Relations & Events:

  • Develop strong tenant relationships through responsive customer service.
  • Plan and coordinate tenant events, recycling programs, and giveaways.
  • Oversee building directories, signage, and security access.

Preferred Qualifications:

Education: High school diploma required; Bachelor’s degree in Business Administration preferred.
Experience: 2+ years in an administrative or office management role (Commercial Real Estate preferred).
Skills:

  • Proficiency in Microsoft Office 365 (Excel, Word, Outlook, PowerPoint).
  • Excellent communication, organization, and time management skills.
  • Ability to handle multiple projects with efficiency and accuracy.
  • Strong problem-solving and decision-making abilities.
    Other Requirements:
  • Must possess a valid driver’s license.
  • Must adhere to strict punctuality (8:00 AM – 5:00 PM, Monday-Friday).
