Assistant Property Manager

Job Summary:

The Assistant Property Manager helps oversee daily property operations, ensuring a well-managed and well-maintained environment. The role focuses on customer satisfaction, lease administration, vendor management, and financial reporting.

Key Responsibilities:

Customer Relations & Property Management:

  • Build and maintain positive relationships with tenants.
  • Assist with tenant move-ins, move-outs, and orientations.
  • Plan and coordinate tenant engagement events and building services.
  • Perform regular property inspections to assess maintenance and risk management.
  • Oversee property website updates to ensure accurate and current information.
  • Assist with vendor management, including bidding and contract negotiations.
  • Support emergency response procedures, including evacuation drills.
  • Collaborate on capital improvements, tenant improvements, and major repairs.

Property Accounting:

  • Assist in preparing operating budgets, capital plans, and expense management.
  • Review and approve monthly invoices from service providers.
  • Manage accounts receivable and assist with collections.
  • Review lease calculations for operating expenses and tenant charges.
  • Prepare annual rent adjustment communications for tenants.

Leasing Administration:

  • Ensure compliance with lease agreements and obligations.
  • Prepare rental commencement letters and official lease notices.
  • Support leasing team with vacant space tours and tenant inquiries.
  • Review lease drafts for accuracy and property-specific requirements.

Preferred Qualifications:

  • Bachelor’s degree in Business, Real Estate, or related field (preferred).
  • 2+ years of commercial property management experience.
  • Valid driver’s license required.
  • Strong customer service and problem-solving skills.
  • Ability to manage multiple tasks efficiently.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with property management software is a plus.
  • Strong verbal and written communication skills.
  • Detail-oriented with excellent organizational skills.
